Having Trouble Importing a Contact List?

Having trouble importing a file?

Can't find Contact Import?

To find Contact Import, open Data in the left sidebar and select Contact Import. This menu item appears only for Admin users.

If Contact Import is missing, your current role is not Admin. Ask an account Admin to import the file for you or change your role. Staff users cannot see the Contact Import page.

If your contact import fails, skips rows, or you would prefer help from our team, reply in your support conversation with the file or email your CSV or Excel file to support@brokerkit.com. Tell us whether the list contains recruiting leads or team members, and include any labels or special instructions. Brokerkit Support can troubleshoot the error or upload the file for you.

When asking for help, send:

  • The original CSV or Excel file
  • Whether the contacts belong in Leads (Recruiting) or Team Members (Retention)
  • The error message or a screenshot
  • The downloaded error CSV, if Brokerkit provided one
  • Any labels, MLS information, or field-mapping instructions

What to check before trying again

  1. Use the correct importer and its template. Go to Data > Contact Import. Choose Leads for recruiting contacts or Team Members for your retention roster. Download that importer's template and do not change its column headers. Columns not included in the template are skipped.
  2. Upload a CSV file. The self-service uploader accepts .csv files, not Excel .xlsx files. Complete the downloaded template, then save or export it as a UTF-8 CSV.
  3. Check the file size. The maximum upload size is 10 MB. Split larger files into smaller batches.
  4. Check each row's identifiers. Include an email address and/or Agent ID so Brokerkit can match or create the contact. A new Team Member needs an email address. A phone number alone is not a reliable import identifier.
  5. Select the MLS when using Agent IDs. Import data from only one MLS at a time.
  6. Check the CSV formatting. Malformed CSV formatting, invalid UTF-8 characters, or illegal quotation marks can cause a file or row to fail.
  7. Check field values. A row can be skipped when an identifier is missing or a value fails validation. For example, a Source must match an existing Brokerkit source. The error report provides the specific reason returned for each skipped row.

Review the import-results email

After the import finishes, Brokerkit emails the user who started it from noreply@u.getbrokerkit.com with the subject [Brokerkit] Imported data.

The email reports:

  • How many rows were successfully imported
  • How many rows were skipped
  • Whether all rows succeeded or only some records imported

If rows were skipped, the email includes a Download CSV File link. This is a download link, not an email attachment. Open it within 24 hours before it expires. The downloaded CSV contains the skipped rows and an error column explaining why each row was skipped.

If the entire file cannot be parsed, the email explains that the file is not in the correct format and instructs you to save it as a UTF-8 CSV before trying again.

If you do not see the email, check spam or junk for the subject [Brokerkit] Imported data. If it is still missing, contact support@brokerkit.com so we can check notification delivery.

Fix the failed rows and retry

  1. Download the error CSV from the results email within 24 hours.
  2. Review the error value on each skipped row.
  3. Correct those rows in the appropriate Brokerkit template.
  4. Save the corrected file as a UTF-8 CSV.
  5. Upload it through the same importer.

Brokerkit uses email addresses and Agent ID/MLS values to match existing contacts, so corrected rows can update matching contacts instead of creating unnecessary duplicates.
