Importing and Updating Contacts from REality Software

REality (Real Estate Statistics) provides current MLS agent data, including production, office, and contact information. Its built-in BrokerKit export template formats prospect lists and agent rosters for import into BrokerKit.

This guide covers both:

  • Importing prospective agents into Recruiting
  • Updating your existing agent roster in Retention

Before You Import

  • You must be a BrokerKit Admin to access Data > Contact Import.
  • Do not rename or remove columns from the REality BrokerKit export. BrokerKit matches data by header name.
  • Make sure REality Software exists as a source in BrokerKit. Go to Account Settings > Sources and add it if necessary. If this source is missing, the import may skip every row with a "Source does not exist" error.
  • Records need an email address or an Agent ID/MLS number so BrokerKit can match and de-duplicate contacts.

Create a Recruiting Prospect List in REality

  1. Log in to REality at realestatestatistics.com.
  2. Go to Reports > Combined Agents.
  3. Select Advanced Search in the upper-right corner of the data table.
  4. Define the agents you want to recruit. For example:
    • For agents with 5–7 transactions, enter 5…7 in the Units field.
    • For agents with at least $10 million in sales, enter >=10000000 in the Value field.
  5. Select Finished Search to display the matching agents.

Filter the List by Location

  1. Select Filter.
  2. Choose an available location type, such as City, Zip/Postal Code, Community, District, Area, Subarea, or Subdivision.
  3. Search for and select one or more locations.
  4. Select Add to Search.

You can also target agents by their office location through Reports > Base City or Reports > Base Zip Code, then return to Reports > Combined Agents.

Export Using the BrokerKit Template

  1. When your list is ready, select the blue Export button.
  2. Enter the number of rows to export. REality allows up to 1,100 rows per day by default.
  3. Select Export using the BrokerKit Template in Excel Format.
  4. Download the exported file.

You may add supplementary information, such as notes or labels, but do not rename or remove the column headers.

Import Recruiting Leads into BrokerKit

  1. Log in to BrokerKit.
  2. Go to Data > Contact Import.
  3. Choose Leads Importer.
  4. Upload the BrokerKit-template file exported from REality.
  5. Add a label, such as REality Import Q1 2026, so you can find the imported contacts later.
  6. Follow the prompts and select Start Importing Data.
  7. Review the import-results email for the number of rows imported or skipped. If rows were skipped, download the error file for the reason associated with each row.

Build a Cooperating-Agent Recruiting List

REality can help you identify agents from other brokerages who have already completed transactions with your office. These cooperating agents may be useful recruiting prospects because they are already familiar with your brokerage and its agents.

Find Buyer Agents Who Worked with Your Listings

  1. In REality, go to Reports > Listing Offices.
  2. Find and select your office to open its Office Drill-Down Performance page.
  3. Go to Reports > Buying Agents.
  4. Review the agents who represented buyers on your company's listings and the number of transactions they completed with your brokerage.

Find Listing Agents Who Worked with Your Buyers

  1. In REality, go to Reports > Buying Offices.
  2. Find and select your office to open its Office Drill-Down Performance page.
  3. Go to Reports > Listing Agents.
  4. Review the listing agents whose properties were purchased by buyers represented by your brokerage.

Export and Import the Cooperating Agents

  1. Select Export from the results page.
  2. Enter the number of rows to export, up to REality's daily limit.
  3. Select Export using the BrokerKit Template in Excel Format.
  4. In BrokerKit, go to Data > Contact Import and choose Leads Importer.
  5. Upload the BrokerKit-template file and complete the import.
  6. Add a label, such as REality Cooperating Agents, so you can find and segment the imported contacts later.

Import or Update Your Retention Roster

  1. In REality, go to Reports > Combined Offices.
  2. Find and select your office to open its Office Drill-Down Performance page.
  3. Go to Reports > Combined Agents to display your team members.
  4. Select Export and use the BrokerKit Template in Excel Format.
  5. In BrokerKit, go to Data > Contact Import and choose Team Members.
  6. Upload the BrokerKit-template file exported from REality and complete the import.

How Matching and Updates Work

  • BrokerKit matches contacts using an email address or Agent ID/MLS number to prevent duplicates.
  • Re-importing current REality data updates matching records instead of creating new contacts.
  • A Leads import starts unmatched contacts in Recruiting. If a record matches an agent already in Retention, BrokerKit updates the existing agent.
  • Import REality data periodically, such as monthly or quarterly, to keep production and office information current.
  • Archive agents you do not want in your active pipeline instead of deleting them. An archived matching record will remain archived during a later import.

Troubleshooting

The import says "Source does not exist" or skips every row

The REality export uses REality Software as the contact source. Go to Account Settings > Sources, add a source named exactly REality Software, and run the import again.

Some contacts were skipped

Check the error file attached to your BrokerKit import-results email. Records missing both an email address and an Agent ID/MLS number cannot be reliably matched and may be skipped.

BrokerKit does not recognize the columns

Re-export the file from REality using the BrokerKit template. Do not rename, remove, or replace its column headers.

The import still fails

Email the exported file and the import error details to support@brokerkit.com. The support team can review the file and assist with the upload.
