Viewing and Using Your Pipeline Report

Your Pipeline Report is one of your most powerful tools for tracking the health of your recruiting funnel. If it's an unfamiliar concept, consider it a way to mark leads for "mutual interest" or "hotness." While your day-to-day activities as a recruiter lean heavily on a lead's Status (e.g., New, Contact Attempted, Made, etc.), it's easy to lose sight of who's closest to joining and who most needs your attention. Your Live Pipeline Report is a effective way to focus on leads with whom you've met and are most interested in joining. Leads will appear on your report once you've Logged an Appointment with a Pipeline Rating and a Followup date, as detailed here. If you're missing any one of these three elements, the lead won't appear, and thankfully, all can be completed with the simple step of logging your appointment. From Recruiting, click Reports to view your Live Pipeline Report. You can view the entire team's pipeline, or filter down to a single recruiter by selecting Filter by Team Member. You can toggle between agents in your funnel or who've Signed and are still in Onboarding and agents who've completed the preliminary steps and are Active and have Joined your office. Click here to learn more about Recruiting, Retention, and Onboarding agents. You are also able to sort your Retention leads by month to have a further breakdown of your office's recruiting efforts! Your report will sort agents based on their Pipeline Rating: - Signed - 10 - Joining this month - 9 - Joining next month - 8 - Joining in 2 months - 7 - Joining in 3 months - 6 - Good meeting - 5 - Meeting could have gone better - 4 - No meeting (i.e., no-show, cancellation, etc.) Keep in mind the Pipeline Ratings are ultimately subjective and at the discretion of the recruiter - a lead may have seemed like an apprehensive 5 who turns around and joins the next day, or an enthusiastic and ready-to-sign 10 who vanishes from all further contact. Like home buyers and sellers, agents rarely act on the schedule we assume they will. Make sure you and your team are on the same page as to how to rank leads, and look for patterns - if a recruiter is consistently over- or under-estimating a lead's willingness to join, that's a training opportunity. Your Live Pipeline Report is the end of your funnel, and the result of all your efforts with texts, emails, and Smart Campaigns. If you team is constantly moving people through the pipeline toward success, you know you're on the right track. Removing a Lead from Your Pipeline Report If you need to remove a lead from your Pipeline Report, you can do so by clearing their Pipeline Rating: 1. Open the lead's profile by clicking on their name 2. On the right-hand side, find the Pipeline section 3. Click Edit 4. In the Rating dropdown, click the X button to clear the rating 5. Click Save Once the rating is cleared, the lead will no longer appear on your Pipeline Report. The lead itself is not affected — they remain in your recruiting roster with all their other information intact. Note: Pipeline ratings can only be removed one lead at a time. There is currently no bulk option for clearing pipeline ratings.

Activity Report

Brokerkit has a user Activity Dashboard that lets you track how many calls, emails, and texts each user has made over predefined time periods (weekly, monthly, or yearly). Use this report to see the number of calls logged per day, week, or month, broken down by individual user — as well as emails sent, texts sent, completed tasks, appointments, and new hires. mceclip2.png Two Ways to Track Call Activity in Brokerkit There are two places to see call reporting in Brokerkit: 1. Activity Report (this page) — Shows the number of calls logged by each user, broken down by time period (this week, last week, this month, last month, this year, prior year). Also shows emails sent, texts sent, completed tasks, appointments set, and new hires per user. Go to Reports > Activity to access this report. 2. Billing Page — Shows total call minutes and call recording minutes for your entire account, broken down by day, week, month, and prior month. Use this to track your usage against your plan's included call minutes and avoid usage billing charges. See How do I determine limits and track my email, text, and call usage? for details. Activity = Results! With the Activity Report in Brokerkit, you can set activity goals for yourself or your team around crucial recruiting metrics and then track progress against them in the Activity Report. Driving that activity will drive results for your team and help verify results and activity for individuals you are hiring. Activity Metrics This report will show you the following details of the admin and staff users in your team: | | | | --- | --- | | Name | * The name of the user in the system | | Account Name | * This will only show when Filter by level = Organization vs. Account * The name of the account if it is linked in an organization. * The accounts can be named by team, office, or region to segment the data accordingly. | | Logins | * The number of times the user logged into the system during the filtered timeframe. | | Last Login | * The date on which the user last logged into the system. | | Recruiting Leads Assigned | * The number of leads assigned to the user in Recruiting. | | Completed Tasks | * The number of tasks completed by the user during the filtered timeframe. | | Emails Sent | * The number of emails sent by the user during the filtered timeframe. | | Calls Logged | * The number of calls logged made through the system OR a call note (note with phone icon) is logged in the contact profile. | | Text Messages Sent | * The number of text messages sent in the system by the user during the filtered timeframe. | | Contact Made | * The number of leads in recruiting assigned to the user whose status is Contact Made or beyond. | | Appointments Set | * The number of appointments created/booked by the user for recruiting leads during the filtered timeframe. Appointments are counted based on when they were set (created), not when they are scheduled to occur. | | Appointments Logged | * The number of appointments the user logs for recruiting leads assigned during the filtered timeframe. | | New Hires | * The number of recruiting leads assigned to the user during the timeframe where the status was changed to Signed to move them to Retention and then set to Active after onboarding. | Timeframe Filters One can filter these details by the following time-based filters: 1. This Week 2. Last Week 3. This Month (default) 4. Last Month 5. This Year 6. Prior Year Need to track daily activity? The Activity Report does not currently support a "Today" or custom date range filter. To see contacts you interacted with on a specific day, use the Last Activity filter in Advanced Search: 1. Go to Recruiting or Retention 2. Click the Search bar, then click Show Advanced Options 3. Set the Last Activity start and end date to the specific day you want to review This will show all contacts with logged calls, texts, emails, or notes on that date. Want daily or custom date filtering in the Activity Report? Vote for this feature on our Ideas portal! Why can Appointment Set counts differ from the Recruiting Dashboard? The Activity Report is a historical activity report for the timeframe you selected. Its Appointments Set count reflects appointments created or booked by users during that reporting period. The Recruiting Dashboard is a current pipeline view. It can show a different number if appointments were later completed, canceled, deleted, rescheduled to another date, or otherwise moved out of the current dashboard view. Use the Activity Report when you want to explain what activity happened during a period. Use the Recruiting Dashboard when you want the current list of scheduled or actionable recruiting appointments. 📝 Note: The 'No Owner' row will only show the details for 'Number of Agents Joined' and 'Number of Follow-ups' for leads/agents who are not assigned to any admin/staff user. Activity Report - Frequently Asked Questions How are logins counted in the Activity Report? The Activity Report counts distinct login events where you enter your credentials and authenticate. It does not count every page visit or session continuation. What counts as a login: ✅ Entering username and password on the login screen ✅ Authenticating through Single Sign-On (SSO) ✅ Logging in after your session has expired What does NOT count as a login: ❌ Visiting bookmarked pages while already logged in ❌ Navigating between pages during an active session ❌ Returning to BrokerKit while your session is still active ❌ Browser auto-refresh or cached page loads How to Make Someone Show as a New Hire in the Report For a recruiting candidate to appear as a "new hire" in the Activity Report, you need to complete this two-step process: Step 1: Move from Recruiting to Retention (Set Status to "Signed") 1. Go to the Recruiting section 2. Open the candidate's profile 3. Select "Signed" from the Status dropdown (top right corner) The candidate now moves to the Retention tab with an "Onboarding" status. Step 2: Set Status to "Active" in Retention 1. Go to the Retention side 2. Find and open the candidate's profile 3. Click "Active" in the upper right-hand corner Result: The candidate now appears as a "new hire" in the Activity Report for the timeframe when these status changes occurred. Important: Only candidates assigned to you during the selected reporting timeframe (weekly, monthly, or yearly) will show in your "New Hires" count. Other Reports in BrokerKit The Activity Report is your primary user and team outreach metrics dashboard. To export: 1. Open the report. 2. Set your filters (date range, team member, etc.). 3. Click the Download CSV or Export button (typically top-right of the report view). 4. BrokerKit generates the CSV and emails it to you from noreply@u.getbrokerkit.com with subject [Brokerkit] Exported data. 5. Open the email and click the download link. CSV didn't arrive? - Check spam / junk. - Check you're not on the BrokerKit email suppression list (see Segmenting your Data with Advanced Search/Filter → Troubleshooting: Not Receiving the CSV Export Email). - Large exports can take several minutes — retry after 10 minutes before escalating.
