Using Today, Leads, Tasks, and Reports

Brokerkit was designed to help you stay on top of your leads. Buried leads result in lost opportunities, and we designed Brokerkit specifically to solve this massive problem in the industry. From Recruiting, find the action bar along the left-hand side and click Today. aaaa.png How to Prioritize Your Day in Brokerkit The Today view is designed to tell you exactly what to work on first each morning. Use this priority order to plan your day: 1. Start with Upcoming Appointments — these are time-sensitive and already on your calendar. Confirm or reschedule before anything else. 2. Work New Leads next — fresh leads are the most likely to convert. Reach out before they go cold and change their status (Contact Attempt, Contact Made, etc.) to clear them from this section. 3. Finish with Tasks Due Today — campaign follow-ups, callbacks, and reminders you scheduled. Knock these out before they roll over to "Overdue." Suggested morning routine: - Open Today as the first thing each morning - Spend 15 minutes confirming appointments - Spend 30–60 minutes calling/texting New Leads - Work through Tasks Due Today in order - Check Tasks Overdue before logging out Why Does My Today Dashboard Look Empty? Covers: Today screen is empty, Today dashboard blank, no leads in Today, empty Today page, nothing on my Today, Today page has nothing to do, Today is empty. Short answer: The Today page only shows Upcoming Appointments, New Leads (status = "Lead"), and Tasks Due Today. If all three are empty, it means you have no appointments scheduled, no fresh leads with "Lead" status, and no tasks due today. Head to Leads to add prospects, import a list, or launch a Smart Campaign to generate activity. Common Reasons the Today Dashboard Looks Empty - No new leads with "Lead" status. When you move a lead to Contact Attempt, Contact Made, or any other status, they leave the New Leads section. If your whole pipeline is past the Lead stage, New Leads will be empty. - No appointments today. The Upcoming Appointments section shows appointments scheduled for today and onward. If you haven't booked any, this section stays empty. - No tasks due today. Tasks from Smart Campaigns or that you created manually only appear here if their due date is today. Future-dated tasks show up on their due date. - Setting a task date doesn't remove leads from New Leads. Only changing a lead's status (away from "Lead") clears them out. - You recently imported leads but set them to a non-Lead status. Leads imported with statuses like "Contact Made" skip the New Leads section entirely. How to Fill Up Your Today Page 1. Go to Leads and add new prospects, or import a CSV. 2. Launch a Smart Campaign to auto-generate follow-up tasks. 3. Schedule appointments with interested recruits — they'll appear in Upcoming Appointments. 4. Set task due dates for today instead of the future when you need reminders. If your Today screen looks empty, head to Leads to add new prospects or import a list — a healthy Today view is the engine of consistent recruiting and retention activity. Today is, appropriately enough, where you'll start your recruiting activities each day. Here, you'll find your Upcoming Appointments and can click ahead to see what's upcoming, New Leads that need attention, and any Tasks you have scheduled for today. Understanding the New Leads Section The New Leads section displays contacts with a status of "Lead" who were recently added to your system. This includes: - Leads added manually through the UI - Leads from lead capture sources (job applicants, landing pages, referrals) - Leads imported via integrations like Zapier To clear a contact from New Leads, change their status from "Lead" to any other status such as: - Contact Attempt - You've tried to reach them - Contact Made - You've spoken with them - Appt Set - You've scheduled a meeting This indicates you've followed up with the lead and moves them out of the New Leads section. 💡 Note: Setting a task date does NOT remove leads from the New Leads section. Only changing the status will clear them out. For Appointments: Logging or deleting your appointment will clear them from the Upcoming Appointments section. bbbbb.png Leads is where you'll find all available leads. Here you can start smart campaigns, assign tasks, add labels, and change the status of leads either individually or in bulk. 💡 Tip: Use Advanced Filters in the row under the search bar on either Today or Leads to narrow down to a specific group — high producers, contacts you haven't touched in 30 days, leads in a specific city — then run bulk actions on the results. See Segmenting your Data with Advanced Search/Filter for the full guide.Screen_Shot_2022-09-15_at_11.10.25_AM.png Tasks will display your Tasks dashboard; here, you can view Tasks due today, due later, any overdue tasks, or view all Tasks at once. You can also utilize the search functions to help hone in on specific tasks! If your Today screen is looking a little sparse, you'll want to head to make sure you are attempting to reach out to your current leads and adding new leads when applicable. dddd.png Reports are where you can access your Live Pipeline Report as well as the Recruiting Activity Dashboard; below is a short video detailing these two features. The Live Pipeline Report is used to track leads you have met with going through different stages of joining your team. The Recruiting Activity Dashboard is an accountability report on activity because the activity level is what really drives results. This is used for tracking your own activity or that of your team.

How to Manage your Tasks

Log in to Brokerkit and search for an individual you wish to follow up with. 2. Add any filters from the "advanced options" menu as needed. 3. Click on the name of the individual you wish to set a task for. Select_Name.png 4. Select the task option.Select_Task.png 5. Fill out the required information to set a name, task category, and the date for the task to be completed. You can use the "Description" section to add notes for the task. Task_Fields.png 6. Assign an owner, priority level, and status. Once you are finished, select "Add Task,"** and it will be saved. Saving_Task.png Tip: If you choose to set yourself as the owner of a task, you won’t receive an email notification. However, if you assign the task to someone else, they will get an email letting them know that a task has been assigned to them for a contact. Adding Follow-Up Tasks on Activities 1. Follow-up tasks can be added while adding or editing any activity on an individual's profile. You can also add them when sending communications like emails or texts or logging notes or activities. If you would like to learn more about logging activities for a contact, you can click here. You can start by finding the individual and selecting their name to pull up their profile. Select_Name.png 2. Next, you will need to select the icon representing the proper method of communication or activity being performed. You may also edit previous activities to bring up this same menu. A "Follow-Up Task" can be added to any activity assigned to a profile.  Notes_bar.png 3. Fill out the textbox with any relevant information. The picture below uses the note as an example; this process can be replicated for any activity. Notes_Dialogue.png 4. Prior to logging the note, you can select the calendar icon to the right of "Follow-Up Task" and select a date for the follow-up task. Then, select the "+" icon to the left of "Follow Up Task" and fill out the form by adding any relevant notes before saving. Follow_Up.png 5. Once you are finished adding any notes, you can click the button to log the action, and all of the notes will be saved to the individual's profile. The follow-up will be added to your tasks for the day you selected. Select the "Shared" icon on the left to adjust the visibility settings.Finished.png Creating Tasks as Campaign Steps - You can also have tasks automatically created and assigned as steps in campaigns. - You can assign them to a specific owner or select contact owner, and the task will automatically be assigned to the user set as the contact owner. - Each task step can be assigned to a different person - You can create recruiting or retention task plans, such as for the tasks you need to do for each agent onboarding. This type of campaign would be a series of functions with On=Any Day and At=Any Day, and since it would not have date/time constraints, it would immediately create and assign out all of the functions. - Note that email notifications are turned on by default for these tasks, but they can be toggled off in the campaign task step. Task Email Notifications - When you assign a task to another user, they will receive an email notification that a task has been assigned. - You won't get an email notification if you assign the task to yourself. - For tasks created as a campaign step, email notifications are turned on by default, but they can be toggled off in the campaign task step.
