Uploading and Adding Agents to Your Retention Roster

When you first sign up for Brokerkit, we'll ask for a roster of your current agents, along with important dates and contact information. The more information we have at the start, the quicker you're up and running. Please email us at support@brokerkit.com to request our updated team roster template so you can see all the fields we can import, along with a description of those fields.

An Agent ID is required to accurately update your team's production and can be found in your configured MLS system (such as BrokerMetrics, Relitix, or other MLS providers). If you need to find an existing Agent ID within Brokerkit, you can use the search bar to search by Agent ID. Without an Agent ID, the system can only rely on matching the agent's email address, which may result in duplicates. Since many of our clients use a franchise-specific vanity email after they sign an agent, this is unreliable and results in duplicates. Three Ways to Add Contacts to Retention

Once your roster is uploaded, there are three ways to add contacts to your retention roster:

  1. Set status to "Signed" in Recruiting (most common) — If the contact is already in your Recruiting list, change their status to "Signed." This automatically moves them to Retention with an "Onboarding" status.
  2. File import — Use the Retention Importer under Data > Contact Import to bulk upload contacts directly into Retention.
  3. Add Team Member button — From the Retention screen, click "Add Team Member" to manually add someone who is NOT already in Recruiting.

⚠️ Important: If a contact already exists in Recruiting, do NOT use the "Add Team Member" button in Retention. This will create a duplicate contact. Instead, change their status to "Signed" in Recruiting to move them.


Option 1: Move from Recruiting to Retention (Set Status to "Signed")

This is the most common way to move a contact from Recruiting to Retention. When you've recruited a lead and they've signed with your brokerage:

  1. Go to the Recruiting section
  2. Open the contact's profile
  3. You can either:
    • Change the Status dropdown (upper-right corner) directly to Signed, or
    • Click Log Appt in the top action bar, add your notes and pipeline rating, then select Signed from the Status dropdown and click Log Appointment

The contact automatically moves to Retention with an Onboarding status. Click here to learn more about the difference between Onboarding and Active agents.

After onboarding is complete:

  1. Go to the Retention section
  2. Find the contact in the Onboarding queue
  3. Open their profile and change status to Active

The contact is now an active agent on your team and will appear as a New Hire in the Activity Report.


Option 2: File Import (Retention Importer)

Use the file import feature to bulk upload contacts directly into Retention:

  1. Go to Data > Contact Import
  2. Select the Retention Importer
  3. Upload your CSV/Excel file with agent details

Option 3: Add Team Member Directly to Retention

If a contact is NOT already in your Recruiting list and you don't need them to appear on your Pipeline Report, you can add them directly to Retention.

From the Retention screen, click Add Team Member.

Enter the team member's name, email, title, and role, then click Save. Click here to learn more about the different levels of access each role provides.

After clicking Save, you'll be taken to the agent's profile. Click Edit along the right-hand side. You can add additional contact information, important dates, notes, and follow-up dates or adjust their status.

📝 Note: Be sure to check your current leads before adding someone to your team. If they're a licensed agent, it's highly likely they already exist in the system, and adding them directly to Retention will create a duplicate.

Viewing Your Newly Added Agents

After adding an agent to your retention roster, you may need to adjust your view settings to see them:

My vs. All Filter

The Retention screen includes a "My" vs. "All" filter that controls which contacts are visible:

  • "My" - Shows only agents assigned to you
  • "All" - Shows all agents in your account

If you don't see a newly added agent:

  1. Check that you're viewing "All" contacts (not just "My" contacts)
  2. Verify the agent was saved successfully
  3. Refresh your browser
  4. Check if the agent is in Recruiting instead of Retention

Label Filtering

You can also filter contacts by labels:

  1. Select a label from the filter dropdown
  2. Only contacts with that label will appear
  3. Clear the label filter to see all contacts again

Note: Label filters work in combination with the My/All filter. If viewing "My" contacts with a label filter, you'll only see your assigned contacts that have that label.
