Mass Text and Email Your Team

The most requested feature in Brokerkit, Retention, gives you the option to instantly mass text and email all or part of your team. For bulk texting recruiting contacts or job candidates, see Can I mass text in recruiting?. **📝 *Note:***If you haven't texted in Brokerkit yet, you'll need to set up a number the system can use on your behalf. Click here to learn more about setting up a system number. Click Blast Team on the upper right-hand side of the Retention screen, and select either Text Team or Email Team. Enter who the text or email is from, and fill out the subject and body. Remember to use Variables to dynamically insert the recipient's name. Blast Team will then send an individual message to your admins, staff, and agents. **📝 *Note:***By design, Blast Team excludes Affiliates. If your message needs to reach everyone or a more specific group, there's an easy solution for that. From Retention, click the search bar and press enter. If you need to narrow your message, use the Advanced Search Options to do so. In the search results, clickSelect All and Send Email or Send Text. Select who it's from and compose it just as you did with theBlast Team feature. mceclip2.png Scheduling Mass Emails and Texts When you select Blastoption to text or email your team, you can schedule them according to your specific needs. Before sending the text or email, click on clock icon and this modal will be shown: Zight Recording 2024-7-12 at 3.08.22 p.m. When you select any of first four option, the email or text will be sent according to selected option and time zone that is in your settings. If you select Customoption, you can pick specific date, time and time zone. How to cancel a Mass, Bulk or Blast scheduled text When you schedule a mass, bulk or blast text, you can cancel the delivery before it is sent. To do that, follow these steps: 1. Open any one of the contact profiles that was bulk selected to receive the bulk text. 2. In the Activity timeline under the ALL tab or TEXT tab find the scheduled text 3. In the right of the event log. Click on the Trash icon 4. Confirm you want to delete it 5. The event log will then show that the Scheduled text was deleted NOTE: When you delete a bulk text from any of the contact profiles. The text will be deleted for all contacts selected in the bulk action.

Starting Retention Calls and Setting Follow-ups

When your roster is first uploaded to Retention, you will want to set tasks to ensure you follow up with your team. If you sign agents from Recruiting, all your agents will be in the Onboardingsection. Your goal is to work through your Onboarding queue by onboarding these new agents. Retention Outreach Reminders (Active Queue) - An agent will appear in Retention Reminders and your Daily Retention Agenda email if no contact attempts have been made. - An agent will also appear in your reminders and your Daily Retention Agenda email if there has been no 1-on-1 contact in the last 30 days. - Unlike recruiting, Active is a shared follow-up pool so your entire staff can have a stake in retaining your agents. - You can still assign owners to different team members for retention touches or click Showing all Active agents in the bottom left of the Active queue to filter by production level if different leadership team members manage agents with different productions levels (e.g. one person manages the Megas and another person manages New agents) - Note that bulk actions like bulk emails or campaigns to your agents will not trigger the Retention reminders. Scheduling and Logging Appointments In addition to notes and follow-up tasks, you can schedule and log appointments directly from a retention agent's profile. This is the best way to track your 1-on-1 check-in meetings with your agents. Setting an Appointment 1. Open the agent's profile in Retention. 2. Click the Appt button in the profile header (next to Email, Call, and Text). 3. Choose a date, time, and time zone for the meeting. 4. Add a location, meeting title, and any details or notes for the agent. 5. Optionally re-assign the appointment owner or add additional invitees. 6. Click Send with Google or Send with Outlook to send a calendar invitation, or click Save Appt to save without sending. 7. Optionally set a Follow Up Task and update the agent's status. Scheduled appointments appear in your Retention Today view under Upcoming Appointments and in your Daily Retention Email each morning. Logging an Appointment After your meeting, log it to keep a record in the agent's timeline: 1. Open the agent's profile in Retention. 2. Click the Log Appt button in the profile header. 3. Enter the appointment date and time. 4. Add notes about what was discussed using the rich text editor. 5. Update the agent's status if needed (Onboarding, Active, or your custom retention statuses). 6. Optionally set a Follow Up Task for your next check-in. 7. Click Log Appointment to save. Logged appointments appear in the agent's activity timeline and count toward your Activity Report metrics (Appointments Set and Appointments Logged columns). Viewing Your Appointments Your scheduled retention appointments are visible in two places: - Retention Today view — The Upcoming Appointments widget at the top of the page shows your appointments with tabs for Today, This Week, Next Week, and Last Week. From this widget you can log a completed meeting, reschedule, or delete an appointment. - Daily Retention Email — Your morning retention summary email includes an appointments section showing all check-ins scheduled for the day. Follow-Ups Follow Up Tasks are more versatile in Retention and are designed to work with any number of staff members while still being quick and easy to set. While it won't replace a complex onboarding or task checklist, it does keep your team aware of who has the ball next. From Retention, select an agent to open their profile. After selecting an activity to log or a note to enter, you will see an option to create a Follow Up Task. 📝 Note: If you do not wish to log activity, you can simply select the Task option, create a task on that profile, and assign the Owner option to the relevant individual. 2021-04-14_16_08_42-Search_-_Brokerkit.png Here we can set which person on staff is responsible for this follow-up. As in Recruiting, a Follow-Up Task can be set with any action taken - sending an email, text, making a call, or placing a note - and a specific staff person can be picked each time. From the Retention screen, go to Contacts. You can narrow your search using the Advanced Search options. You have the option to Select All, or you can select the check box next to the names of the individuals you wish to create a task for and click Add Task to set a date in bulk. task.png 📝 Note: Avoid setting a follow-up for dozens of people at once and setting one person up for failure. Instead, break your agents into groups and spread the follow-up dates evenly throughout the month and the staff to keep them manageable.

Uploading and Adding Agents to Your Retention Roster

When you first sign up for Brokerkit, we'll ask for a roster of your current agents, along with important dates and contact information. The more information we have at the start, the quicker you're up and running. Please email us at support@brokerkit.com to request our updated team roster template so you can see all the fields we can import, along with a description of those fields. An Agent ID is required to accurately update your team's production and can be found in your configured MLS system (such as BrokerMetrics, Relitix, or other MLS providers). If you need to find an existing Agent ID within Brokerkit, you can use the search bar to search by Agent ID. Without an Agent ID, the system can only rely on matching the agent's email address, which may result in duplicates. Since many of our clients use a franchise-specific vanity email after they sign an agent, this is unreliable and results in duplicates. Click here to learn more about updating your team's production. Three Ways to Add Contacts to Retention Once your roster is uploaded, there are three ways to add contacts to your retention roster: 1. Set status to "Signed" in Recruiting (most common) — If the contact is already in your Recruiting list, change their status to "Signed." This automatically moves them to Retention with an "Onboarding" status. 2. File import — Use the Retention Importer under Data > Contact Import to bulk upload contacts directly into Retention. 3. Add Team Member button — From the Retention screen, click "Add Team Member" to manually add someone who is NOT already in Recruiting. ⚠️ Important: If a contact already exists in Recruiting, do NOT use the "Add Team Member" button in Retention. This will create a duplicate contact. Instead, change their status to "Signed" in Recruiting to move them. Option 1: Move from Recruiting to Retention (Set Status to "Signed") This is the most common way to move a contact from Recruiting to Retention. When you've recruited a lead and they've signed with your brokerage: 1. Go to the Recruiting section 2. Open the contact's profile 3. You can either: - Change the Status dropdown (upper-right corner) directly to Signed, or - Click Log Appt in the top action bar, add your notes and pipeline rating, then select Signed from the Status dropdown and click Log Appointment The contact automatically moves to Retention with an Onboarding status. Click here to learn more about the difference between Onboarding and Active agents. After onboarding is complete: 1. Go to the Retention section 2. Find the contact in the Onboarding queue 3. Open their profile and change status to Active The contact is now an active agent on your team and will appear as a New Hire in the Activity Report. Option 2: File Import (Retention Importer) Use the file import feature to bulk upload contacts directly into Retention: 1. Go to Data > Contact Import 2. Select the Retention Importer 3. Upload your CSV/Excel file with agent details This is best for initial setup or adding large groups of agents. Click here to learn more about importing contacts. Option 3: Add Team Member Directly to Retention If a contact is NOT already in your Recruiting list and you don't need them to appear on your Pipeline Report, you can add them directly to Retention. From the Retention screen, click Add Team Member. Enter the team member's name, email, title, and role, then click Save. Click here to learn more about the different levels of access each role provides. After clicking Save, you'll be taken to the agent's profile. Click Edit along the right-hand side. You can add additional contact information, important dates, notes, and follow-up dates or adjust their status. 📝 Note: Be sure to check your current leads before adding someone to your team. If they're a licensed agent, it's highly likely they already exist in the system, and adding them directly to Retention will create a duplicate. Now it's just a matter of bringing agents in, and remember to log your appointments as they sign. Viewing Your Newly Added Agents After adding an agent to your retention roster, you may need to adjust your view settings to see them: My vs. All Filter The Retention screen includes a "My" vs. "All" filter that controls which contacts are visible: - "My" - Shows only agents assigned to you - "All" - Shows all agents in your account If you don't see a newly added agent: 1. Check that you're viewing "All" contacts (not just "My" contacts) 2. Verify the agent was saved successfully 3. Refresh your browser 4. Check if the agent is in Recruiting instead of Retention Label Filtering You can also filter contacts by labels: 1. Select a label from the filter dropdown 2. Only contacts with that label will appear 3. Clear the label filter to see all contacts again Note: Label filters work in combination with the My/All filter. If viewing "My" contacts with a label filter, you'll only see your assigned contacts that have that label.

Understanding Retention

When we spoke to our clients, what surprised us most was the lack of effective systems in place to help retain the agents they worked so hard to recruit. The Retention portion of Brokerkit offers a simple but powerful way to track your agent's growth, enable mass communication with your team, and build long-lasting relationships. Regardless of who handles recruiting for your office, your entire staff plays a part in retaining your agents and should have a hand in the Retention portion of Brokerkit, right down to the Compliance Officer. To move a contact from the Recruiting list to Hired, you need to change their status to "Signed." Open the contact profile, and in the upper-right corner, update the contact's status to Signed. This will move the contact to the Retention list with an Onboarding status. You can then update the status again to Active so they appear as an active agent on your team. Click Recruiting at the top of your screen, and select Switch to Retention. Just like the recruiting side of Brokerkit, Retention is broken down into a few sections: Just like with recruiting, your Today view is where you'll start and spend most of your time. Your Today view includes the following sections: - Upcoming Appointments — At the top, your scheduled check-in meetings with agents are shown with tabs for Today, This Week, Next Week, and Last Week. You can log a completed meeting, reschedule, or delete appointments directly from this widget. To schedule a new appointment, open any agent's profile and click the Appt button. To log a completed meeting, click the Log Appt button. See Starting Retention Calls and Setting Follow-ups for details. - Tasks Due Today — Follow-up tasks assigned to you or your staff for the day, along with any that are overdue. - Onboarding — Agents who have been marked Signed in Recruiting appear here. Track their progress through training, paperwork, and other initial steps before marking them as Active. - Retention Reminders — Active agents who have had no 1-on-1 contact in the last 30 days, sorted by longest since last contact. The Add Team Member button allows you to bypass recruiting and add someone directly to your brokerage, whether they're an agent, staff, or affiliate. This also means they won't appear on your Pipeline Report and muddy any reporting if you're just trying to update your roster. 📝 Note: Be sure to check your current leads before adding someone to your team. If they're a licensed agent, it's highly likely they already exist in the system, and adding them directly to Retention will create a duplicate. On the right, you can select Blast Team to email or text all your agents. Keep in mind that Blast Team purposely excludes affiliates but will send an individual email or text to all admins, staff, and agents. Once agents complete Onboarding, select the agent to open their profile. Select Active in the upper right-hand corner to make them a full-fledged agent. Active is where you'll find any agents that are due for Retention calls. By default, they are sorted by the longest since you personally made the last contact. By design, Brokerkit will guide each staff member to call agents on your roster whom they haven't spoken with the longest to encourage the entire staff to build relationships with everyone on the roster. This way, the possibility of a single point of failure is eliminated, and each agent's relationship with the entire office is strengthened. Tracking Your Interactions with Agents Brokerkit gives you three ways to track your conversations and meetings with retention agents: 1. Appointments — Schedule check-in meetings directly from an agent's profile using the Appt button. After the meeting, click Log Appt to record what was discussed. Appointments appear in your Today view, daily email, and the agent's timeline. This is the best way to formally track your 1-on-1 meetings. 2. Notes — Log quick notes about any interaction from the agent's profile. Use the note icon to document conversations, updates, or observations. 3. Follow-Up Tasks — Set reminders for future actions. After logging any activity, you can create a follow-up task assigned to yourself or another staff member. For step-by-step instructions, see Starting Retention Calls and Setting Follow-ups. Managing the Agent Onboarding Phase When you add an agent with "Signed" status, they automatically enter the Onboarding phase in Retention. Use this phase to track their progress through training, paperwork, and licensing before marking them as Active. What to Track During Onboarding In the agent's profile: - Notes: Document completed onboarding steps - Training sessions attended - Paperwork and contracts submitted - License activation date - System access granted - Company policies reviewed - Follow-up dates: Set reminders for next steps - Training session schedules - Document submission deadlines - License activation check-ins - Important dates: Record key milestones - License activation date - Contract signing date - First transaction date Typical Agent Onboarding Checklist Most brokerages track these steps during onboarding: Week 1-2: - Welcome communication sent - System access set up - Company policies and handbook shared - Training schedule provided - Initial orientation completed Week 2-3: - Required paperwork and contracts submitted - License verified and activated in system - MLS access confirmed - Marketing materials provided Week 3-4: - Training sessions completed - First transaction support ready - Team introductions completed - Ready to mark as Active Tip: Customize this checklist based on your brokerage's onboarding process. Use the Notes section in each agent's profile to track completion. Using Smart Campaigns for Agent Onboarding Automate your onboarding communications by setting up a Smart Campaign: 1. Go to Campaigns and create a new campaign 2. Add emails/texts for: - Welcome message - Training schedule and company policies - System access instructions - Check-ins at week 2 and week 3 3. Apply the campaign to agents with "Onboarding" status This ensures every new agent receives consistent onboarding materials. Moving from Onboarding to Active When the agent has completed all onboarding steps: 1. Open their profile in Retention 2. Change status from Onboarding to Active The agent now appears in your Active agents roster and is ready to transact.

Updating and Merging Data Into Your Retention Roster

Maintaining your roster is vital. Adding and removing agents in real time saves you a headache and prevents past agents from getting team-wide broadcasts or new agents from missing out. However, if your roster is out of date and needs an overhaul, here is the best way to tackle that. Updating your roster Once we've uploaded your roster, we don't replace it unless it's an extreme circumstance. Rather than replacing your roster, we suggest Updating your existing roster and moving those inactive agents into **Archived.**This will prevent data loss and ensure that those contacts are not receiving any unwanted communication. You can accomplish this by following these steps: 1. In Labels, create a unique label such as "Current Agent Roster." Navigate to Retention > Team, and bulk assign the label"Current Agent Roster."​ Add Label to Agents Retention - Updating and Merging Data Article 3. Now it is time to Importyour updated roster. 4. Navigate to your Data tab. Select the Team Members importing tool, and press Continue. Data Tab Retention - Updating and Merging Data Article 5. Make sure to assign a new unique label, such as "Updated Roster", to your import and select the appropriate MLS. Then click Continue. Retention Data MLS - Updating and Merging Data Article 6. Next, you will complete your import by selecting the desired CSV file and click Start Importing Data. 7. Once the import is complete, navigate back to Retention > Team, and open the **Advanced Search Options.**Here, you will select the label "Updated Roster," which will show the contacts from your imported file.​ Updated Roster Label Retention - Updating and Merging Data Article 8. You can then bulk select all of the contacts under that label, select Remove Label from Agents, and select the label "Current Agent Roster" to be removed.​ Remove Label Retention - Updating and Merging Data Article 9. Now, you will want to clear your previous search and search for the label "Current Agent Roster" in Advanced Search Options. Current Agent Roster Retention - Updating and Merging Data Article 10. Here, you will see​ only those agents in retention who were NOT in your updated import.
