Adding Videos to your Emails or Texts

NOTE: Bulk texting is now available in both Recruiting and Retention. Videos can also be added to individual texts in both modules and to text steps in Recruiting campaigns. For the Recruiting bulk text workflow, see Can I mass text in recruiting?. You can add videos to your emails or texts—it's a simple way to make your messages more dynamic and engaging. Videos can be added in both Recruiting and Retention. Here's where video insertion is supported in each module: Recruiting: - Individual texts and emails from any contact profile - Bulk emails from the contact list - Campaign email and text steps Retention: - Individual texts and emails from any contact profile - Bulk emails from the contact list - Bulk texts (text blast) from the contact list - Blast Team emails and texts How to add a video 1. Click the email or text button when composing a message — the video icon appears in the toolbar. 2. Click the video icon to see the 3 different ways you can insert a video: - + Record a video - Upload new video - Choose a video 📝Note: If this is your first time, you will be prompted to allow access to your camera and mic. a) Record a Video 1. From the Insert a Video window, click the Record a Video button near the top. 2. Click the Red Circle 🔴 on the screen to begin recording. 1. There is a 10-minute recording limit. 2. Click the Red Circle 🔴 on the screen again to end the recording or press pause as needed. 3. Once complete, you can preview the recording and re-record it if needed. 1. Below the preview, you can name the video and add any additional text to display. 2. Check the box ✅ on the right to create an animated thumbnail (GIF). 4. Click the green Save button to store the video in your library. This lets you insert it into your emails now and easily access it later for future emails or texts. 5. Once the upload is complete, click the green Insert Video button. 6. Your video thumbnail should display and is ready to be sent. 📝 Note: The number of recordings you can create, save, and send is based on your account subscription. b) Upload New Video 1. From the Insert a Video window, click the Upload New Video button near the top. 2. Click the large upload data section to add data, or drag a file into this area to add data. 1. Be sure that your files are in the proper format: mp4, mpg, mov, avi, flv, mpeg, wmv, m4v. 2. You can upload up to a 100 MB video file. 3. Once the upload is complete, you can preview the recording and re-upload it if needed. 1. Below the preview, you can name the video and add any additional text to display. 2. Check the box ✅ on the right to create an animated thumbnail (GIF). 4. Click the green Save button to store the video in your library. This lets you insert it into your emails now and easily access it later for future emails or texts. 5. Click the green Insert Video button. 6. Your video thumbnail should display and is ready to be sent. c) Choose a Video 1. From the Insert a Video window, click the Choose a Video button near the top. 2. Here you can select a video that you have saved to your video library. 1. Use the search bar to find a video or the dropdown to find videos by owner. 3. Select the video you wish to add, then click the green Insert Video button. 4. Your video thumbnail should display and is ready to be sent. How videos appear in emails vs. texts - Emails: The video is inserted as a clickable thumbnail image. When the recipient clicks the image, it opens a landing page where they can watch the video. Be sure to add a call to action so the recipient knows to click the image to watch the video. - Texts: The video is sent as a link to the video viewing page. When the text is delivered, the link is automatically shortened (using the bk.onl domain via Twilio Link Shortener) for a cleaner look. Be sure to add a call to action so the recipient knows to click the link to watch the video. FAQ 1) Where can I see my saved videos? - You can review, organize, and edit all your videos right from the Video Library. To know more, please check this guide ➡️ Video Library & Video Recorder. 2) What if my video got stuck in converting? - If your video got stuck in converting or it cannot be inserted in your email or text, please follow these instructions: 1. Ensure the file size is under 100MB. 2. Wait a few minutes—it may still be processing. 3. Try re-uploading the video. 1. If the issue persists, please send us a message using the chat support for assistance. 3) Can I record or upload videos with my phone or tablet? - Yes, the video recording features also work when you log in from your phone or tablet. 4) How to Update Browser Permissions To Allow Video & Microphone Recording? - In most cases, we will ask you to allow the use of your camera and microphone when you first open the video recorder window. If you want to block a website from accessing your mic or camera or allow a website to access either of them, you can do so under browser settings: - Safari: If you are using safari, follow these steps to access your browser settings: 1. In the menu bar, select Safari -> Preferences. 2. Click the Websites tab. 3. In the list on the left, select Camera. 4. Find getbrokerkit.com, and be sure the camera permissions are set to either Allow or Ask. 5. Next, go to the Microphone section and do the same thing. 6. Now, refresh the page, and when you click to open the video recorder, if you see this popup, select Allow -- we will only access your camera and microphone while you are on the getbrokerkit.com site and recording. - Chrome: If you are using chrome, follow these steps to access your browser settings: 1. Open Chrome and select the three vertical dots in the upper-right corner. 2. Select Settings. Choose the Privacy and security section. - Tip: You can use a keyboard shortcut to access the Settings menu. On Windows, press Alt+F or Alt+E, or F10, followed by the Spacebar. On a Mac, press Command+, (comma).* 3. Choose the Privacy and Security section. 4. Scroll down and select Site Settings. 5. In the Permissions section, select Camera, which contains the Camera and Microphone options. 6. Activate the Sites can ask to use your camera option. Repeat the process for the microphone and activate the Sites can ask to use your microphone option. - Firefox: - If you are using firefox, follow these steps to change your camera settings: 1. In the Menu bar at the top of the screen, click Firefox and select Preferences. 2. Click Privacy & Security from the left menu. 3. Scroll down to the Permissions section. 4. Click the Settings button for the Camera option. - Firefox displays the websites with saved Allow or Block permission. 5. Use the Allow/Block selector to change permission for the website. You can remove the site by selecting it from the list and clicking Remove Website. 6. Select the Block new requests asking to access your camera checkbox if you do not want to give any other sites access to your camera. 7. Click the Save Changes button. - If you are using firefox, follow these steps to change your microphone settings: 1. In the Menu bar at the top of the screen, click Firefox and select Preferences. 2. Click Privacy & Security from the left menu. 3. Scroll down to the Permissions section. 4. Click the Settings button for the Microphone option. - Firefox displays the websites with saved Allow or Block permission. 5. Use the Allow/Block selector to change permission for the website. You can remove the site by selecting it from the list and clicking Remove Website. 6. Select the Block new requests asking to access your microphone checkbox if you do not want to give any other sites access to your microphone. 7. Click the Save Changes button. 5) Can I include a video in a text blast? - Bulk text blasts are only available from the Retention module. Select your contacts, click Send text, and use the video icon in the toolbar. Videos in texts are sent as shortened links (bk.onl domain). Videos can also be added to individual texts in both Recruiting and Retention from any contact profile, and to text steps in Recruiting campaigns.

Troubleshooting: Other Users Can't See My Videos Issue: You uploaded videos to the video library, but other team members say they don't see your videos when they look at their library. Solution: This is normal behavior. Each user's video library filter defaults to "Show my videos" which only displays videos they personally uploaded. To see videos uploaded by ALL users (not just their own), each team member needs to change their filter setting: 1. Go to the Video Library 2. Scroll to the bottom of the page 3. Find the filter dropdown (currently set to "Show my videos") 4. Change it to "Show all videos" Important: This is a personal filter setting - each user controls their own view. There is no organization-wide setting to force everyone to see all videos. Each user must change their own filter preference. Note: This is not a permissions or sharing issue. All videos are automatically shared with your organization when uploaded. The filter just controls what each individual user sees in their own library view. Video Library Subscription Limits - There is a limit on the count of videos that can be stored in the video library for an account which is based on the pricing plan for that account. - Our current pricing plans have allocations for a certain number of videos in your library, but some of our legacy pricing plans will not have an allocation. - Please check your Brokerkit billing page here to see what the limits are by the pricing plan. To increase video limits, upgrade to a current pricing plan on the Brokerkit billing page here or contact support@getbrokerkit.com for assistance. How Long Does Video Processing Take? After you add a video, it has to be processed before it appears in your Video Library. How long this takes depends on which of the three methods you used: - Recorded video (Record a Video) — Typically 1-3 minutes after you click Save, longer for recordings near the 10-minute limit. BrokerKit uploads your recording, converts it to MP4, and generates a thumbnail (and optional animated GIF preview). - Uploaded video file (Upload New Video) — Typically 2-5 minutes for upload and processing combined. Time scales with file size (up to 100 MB), internet upload speed, and video length. Files near 100 MB or close to 10 minutes long can take up to 10 minutes. - YouTube URL (Insert Video URL) — Usually under 30 seconds. No file is uploaded — BrokerKit only validates the link and fetches the title and thumbnail from YouTube. The YouTube video must be Public or Unlisted (Private videos won't work). For recorded and uploaded videos, BrokerKit converts your file to a web-friendly format (H.264 MP4 at 720p) and generates thumbnails. This conversion runs on our servers, and time scales with the length and size of the video. YouTube URLs skip this step because the video is already hosted by YouTube. You can close the upload window or keep working in other tabs while processing runs. The video appears in your Video Library with a green check mark when it's ready. If it's still missing after 10 minutes, see the troubleshooting steps below. Video Upload Troubleshooting If your video recording isn't uploading, the upload is stuck, or you get an error when adding a video, work through this list of common causes: File Size Limits - Uploaded videos must be under 100 MB. Files larger than this will fail to upload. - If your file is larger than 100 MB, trim or compress it (most video tools have a "reduce size" or "compress" option) and try again. - For long recordings, consider uploading to YouTube and adding the YouTube URL to your Video Library instead — see How to add YouTube URLs to your Video Library. Supported File Formats - BrokerKit supports common video formats: MP4, MOV, WEBM, and M4V. - Other formats (AVI, WMV, FLV, etc.) may not upload correctly. Convert to MP4 first. - Audio-only files and images won't upload through the video library. Common Upload Failure Causes - Video not uploading at all. Check your internet connection — large video uploads need a stable connection. Try a wired connection or a different network if Wi-Fi is unreliable. - Upload stuck at 0% or a partial percentage. Refresh the page and try again. If it still stalls, try a smaller / shorter video to confirm the feature is working. - "Upload failed" error message. Usually caused by file size or format (see above). Double-check both. - Green check mark never appears. Wait 1-5 minutes for most videos, up to 10 minutes for files near 100 MB or close to 10 minutes long. Larger and longer videos need extra processing time after the upload completes before they appear in the library. See How Long Does Video Processing Take? above for typical times by method. - Video records but won't save. Browser permissions may have been revoked mid-recording. Reload the page and re-grant camera / microphone permissions when prompted. Videos Disappeared From Library - Check the "Show my videos" / "Show all videos" filter at the bottom of the Video Library page. Default is "Show my videos" — switch to "Show all videos" to see videos uploaded by teammates. - Check the Trash tab — deleted videos remain there for 30 days before permanent deletion. Still Not Working? Contact support at support@brokerkit.com with: - The video file size and format - The browser you're using (Chrome, Safari, etc.) - A screenshot of any error message How to navigate the video library? Welcome to this tutorial on how to navigate the new Videos Library. This library will be a central hub where you can view and organize all your videos in one place. 1. Introduction To start, please access the Brokerkit platform. Introduction 2. Click "Content" Go to the left menu, and select Content. Click 'Content' 3. Click "Videos" Then select Videos. Click 'Videos' 4. Videos Page You can mark a video as favorite, download it, edit it or delete it. Videos Page 5. Mark as favorite To mark it as favorite, click on the star, to unfavorite just click again. Mark as favorite 6. Click to download To dowload the video, click the download icon. Click to download 7. Click to edit To edit the video, click the edit icon. Click to edit 8. Edit a Video You can edit the name, category or owner. Don't forget to click Save. Edit a Video 9. Click to delete To delete a video, click the trash icon. Deleted videos are moved to the Trash page, where they remain for 30 days. Click to delete 10. Bulk Actions Also, you can perform bulk actions, including changing categories, owners or deleting videos. Bulk Actions 11. Choose the action First, select the videos you want to work with. Then, choose the bulk action. Choose the action 12. Click "Download CSV" Finally, if you'd like to have your video info as a table, click Download CSV. A CSV will be generated and sent to your email. Click "Add Video" At the top of the page, click the button Add video. Click 'Add Video' 15. Record online video If you want to record an online video, click the red button to start recording, then click it again to stop it. Record online video 16. Upload a video If you want to upload a video, select it from your computer, it has to be in the format supported and under 100 MB. Add a video name and then hit the Upload video button. Upload a video 17. Wait for the upload Wait for the video to get uploaded to your library, once you see the green check, it means it was successfully uploaded. Wait for the upload 18. How to navigate the new Video Page using advanced filters? Now, let's talk about filters. 19. Search by video name To quickly find a video, use the search bar to look it up by name. Search by video name 20. Click "Show advanced options" For a more specific search, click on Show Advanced Options to reveal additional options to filter your videos. Click 'Show advanced options' 21. Filter options You can filter by Created Date, Video Owner, Engagement, Category, or Favorite status. Filter options 22. Filter by Engagement For example, you can filter videos that have had between 5 and 11 opens. Filter by Engagement 23. Filter by Favorites Or you can filter only favorite videos. Filter by Favorites 24. Generic filter At the bottom of the page, you'll find a filter that lets you choose between viewing all videos or only your videos. Generic filter 25. Example: Only show my videos For example, if you set it as Show my videos, only the videos where you are the owner will be shown. Example: Only show my videos 26. How to access the Trash Page? Now, let's take a look at the Trash Page. 27. Click "View Trash" Access the Trash page by clicking the button View Trash that is located at the bottom of the page. Click 'View Trash' 28. Trash Page The Trash page will show the videos that were deleted from the Video Library. They remain here for 30 days before being permanently deleted. Here, you will be able to see who deleted the video, when it was deleted, and perform 2 actions: restore or permanent delete the video. Trash Page 29. Restore a Single Video To restore a video, click on the first icon. Remember, you have 30 days to restore it before it's permanently deleted. Restore a Single Video 30. Bulk Restore Videos To bulk restore videos, select the videos you want to restore and click the button Restore. Bulk Restore Videos 31. Permanently Delete a Single Video To permanent delete a video, click on the trash icon. Remember, 30 days after a video is moved to the Trash, it will be permanently deleted automatically. Click "Delete" Alternatively, you can bulk select all videos and click the Delete button. Click 'Delete' 34. How to add YouTube URLs to your Video Library

Quick guidde Welcome to this Brokerkit tutorial. We'll walk you through our new Hosted Video Links feature **Go to **getbrokerkit.com 1. Intro A capability that allows you to add YouTube videos to your video library without uploading the video files directly. Which can be used in your email and SMS communications. Intro 2. Before you get started Before we get started, make sure you have: Access to a Brokerkit account with video library permissions. A YouTube video URL that you want to add to your library. The video must be public or unlisted on YouTube (private videos won't work) Before you get started 3. Navigate to Video Page Navigate to the left side bar under Content, and Click Videos to open the video library page Navigate to Video Page 4. Add New Video On the Videos page, in the top right corner click the button to add a new video. This will open the video modal where you can choose how you want to add your video. Add New Video 5. Choose Insert Video URL In the video modal, you'll see several options. Click on 'Insert Video URL' to add a hosted video from YouTube. Choose Insert Video URL 6. Enter the YouTube URL Now paste your YouTube video URL into the URL field. Enter the YouTube URL 7. Video Title Leave this section blank if you wish to use the YouTube video title, if not type in a different title Video Title 8. Recipient Viewing Message Enter your message text to accompany the video for recipients. Recipient Viewing Message 9. Initiate Video Upload Click Upload Video to begin uploading process Initiate Video Upload 10. View Video Processed Once the video is done processing.
